Data Protection
We implement reasonable technical and organizational safeguards designed to protect your information from unauthorized access, disclosure, or misuse.
Third-Party Services
HostIQ may use trusted third-party services including payment providers, cloud infrastructure providers, error and performance monitoring, and communication services. We do not use third-party advertising or marketing trackers.
Data Retention and Account Deletion
You have the right to request deletion of your personal data under Ghana's Data Protection Act, 2012 (Act 843). Staff members can delete their own account from within the platform, and the account owner can delete the entire organization. You can also request deletion by contacting support.
How Deletion Works
- When you request deletion, the account is frozen immediately and signed out everywhere
- A 14-day grace period follows, during which you can cancel the deletion simply by logging back in
- After the 14-day period ends, your data is permanently deleted and cannot be recovered
What Is Deleted
After the 14-day period, we permanently delete:
- Your profile details and account credentials
- Staff accounts, with all personal information removed
- Guest records and communication logs
- Property photos, documents, and all uploaded files
- Tasks, rotas, and staff schedules
- Integrations, including calendar feeds, API keys, and webhooks
- Branding, notifications, and account settings
What Is Retained
Some records must be kept where required for legal, tax, audit, and fraud-prevention purposes, as permitted under Act 843:
- Payment and financial transaction records
- Booking records, limited to amounts and dates, with free-text notes removed
- Finalized owner payout statements
- Audit logs and terms-acceptance records
- Fraud-detection event history
- SMS opt-out (STOP) records, so we can honor your opt-out
All retained records are anonymized: personal information is stripped so they can no longer be linked to you.
