When someone asks "do you have a room for these dates?", open Room availability from the sidebar (or Check free rooms on Bookings and Units). Pick the check-in and check-out dates, and the number of guests if you know it. Every unit shows whether it is free, and the price for the whole stay.
What each unit shows
- Free: nobody holds it for those dates, with the total at your nightly rate (and any pricing rules).
- Booked: a confirmed or checked-in guest has it. The front desk sees who and when.
- Booked on another site: an Airbnb, Booking.com or Vrbo reservation from a connected calendar.
- Guest still checked in: a guest was due out but nobody checked them out. If they've left, check them out on Bookings and the room frees up.
- Free, pending booking: someone has a pending booking that isn't confirmed yet. It doesn't hold the room, so confirm it if the guest is coming.
- Free, guest paying online: a guest on your booking page is paying for those dates right now (for up to 20 minutes).
Below the list, the grid shows the next 14 nights for every unit, so you can spot gaps at a glance. On a phone, scroll it sideways.
Answer the guest and book
- Choose Copy for WhatsApp. HostIQ writes a message listing the free units and their prices for those dates. Edit it if you like, then copy it into the guest's chat or open WhatsApp.
- When the guest says yes, choose Book this on the unit. The booking form opens with the unit and dates filled in. Add the guest's phone and name.
- If the phone number has stayed with you before, HostIQ says so. Choose Use this guest to keep their history on one record.
- Owners and managers can tick Confirm now to hold the room straight away. Then use Request payment to send the guest a MoMo or card payment link.
A pending booking doesn't hold the room. Until someone confirms it, another booking can still take those dates.
